Ocean Infinity is seeking a Personnel Coordinator who will work in a team to facilitate efficient planning of personnel resources and the execution of safe crew changes. With this goal as its main purpose, the group can act as a central hub for information for all parties and departments involved in personnel logistics, crew changes and mobilizations. The Personnel Coordinator will be responsible for planning, scheduling and communication with personnel and department managers, and will work closely together with the team’s Travel Coordinators.

Reports to: Crewing Manager

What will you do:
Plan survey personnel on Ocean Infinity AB’s vessels; online and offline personnel;

Work closely together with each department manager to ensure that the projects are manned with the skills needed;

Work closely together with the travel bookers to ensure that travel is booked in a timely manner and all personnel are aware and informed of their travel details;

Responsible for the planning process;

Schedule personnel based on input from department managers;

Communicate the plans to the personnel;

Point of contact with consultant agencies;

Involve new and develop existing relations with consultant agencies;

Provide new consultants and agencies with Ocean Infinity AB’s policies, procedures, routines etc;

Monitor the evaluation of consultants together with the department manager;

Contribute to the improvement of the personnel planning processes and procedures;

Responsible for Planner profiles being up-to-date, including travel information;

Assist travel coordinator in travel booking;

Responsible for developing functions in Planner to facilitate efficient travel booking and planning;

Responsible for communicating with travel supplier to improve collaboration and systems for travel planning and ticketing;

Schedule personnel for survey activities on board Ocean Infinity AB’s vessels;

Hire consultants and negotiate rates for consultants.

Who you are:
Eager and committed to providing a high quality support service to OI’s offshore personnel, department managers, offshore managers and project managers on all matters related to personnel and crewing;
Enjoy communicating with personnel and taking initiative with informing personnel to ensure they are aware of plans or any changes to plans;
Proactive in finding information and deciding when and to who information needs to be sent to;
Manage time efficiently and prioritize tasks based on the time line required to follow a procedure;
Stress resistant and can quickly and easily adapt to new situations or changes in plans;
Strong understanding of quality management such as standards, regulations and applicable policies and procedures;
Good practical experience with office tools: MS Office, Excel, Teams, e-mail, among others;
Thoughtful, thorough and conscientious;
Ability to take ownership and engagement in the work;
Strong communication skills;
Driven, proactive and able to work autonomously with little supervision towards the group’s purpose;
Enthusiastic about protecting people and the planet.

Desirable:
Any previous experience with the offshore environment or personnel logistics is meriting .
