PURPOSE
To assist with the day to day basic administration of the unitâs service and other functions by providing administration services and other administrative duties as required. To comply with the various types of trust documents handled by Trust Officers and the Trust Administration unit. To provide and maintain trust and related duties within the unit and to ensure the growth and profitability of RBC Trust Company (Delaware) Limited. Assists with the maintenance of the companyâs policies, procedures and assist in developing internal controls and in fulfilling its obligations through commitment ! to both internal and external auditors
PRIMARY RES! PONSIBILITIES:
Administration:
To respond promptly to client requests with the highest standards and confidentiality at all times
Assist the Trust Officers as required in the day to day administration of Trust accounts
Assist team to provide direct impact on the financial results of the company in revenue retention and growth
Answer incoming client calls and assist with any inquiries
To carry out various other Administrative responsibilities and duties as requested by Trust Officers
Act as back-up for other employees while out of office
Respond to correspondence and telephone contact with clients and /or their advisors on all matters in a timely and efficient manner.
The administration of client affairs to meet deadlines ensuring that regular administrative aspects are recorded and acted upon.
Organizational prioritization skills

! Seek out advice from senior staff promptly as and when appropriate.
Research items related to trusts or client accounts as requested
Provide ongoing problem resolution on client accounts as needed
With respect to fiduciary accounts, drafts/develops dispositive summaries of trust documents and discretionary payment memos for review by Discretionary Distribution Committee.
Address questions that arise from clientâs other advisors such as attorneys, money managers, CPAs, and tax accountants in a timely and appropriate manner and by utilizing appropriate resources.
Cultivates and maintains relationship with a limited base of assigned clients, serving as a primary point of contact for all services for those particular clients.
Operational Issues:
Pay and process any bills or payments as they relate to the proper operation of trust accounts under administration
Update account files on system as needed
Establish remittance, statement and memo records for accounts
Ensure proper receipt and disbursement of assets as required by Administration
Real Estate Administration (coordinate transfer of deeds, hire attorneys, ensure appraisals are complete, insurance and taxes are up to date)
Review accounts, trust documents and ensure that all needed documentation is in file (to include marking up files for scanning and ensuring the file tracking system is updated)
Assist Trust Officers in the preparation of Investment/ Administrative reviews as appropriate.
Calculate payouts for annual fixed percentages on various trust payments as approved by Trust Officer.
Interaction/Communication with beneficiaries, remaindermen, and other financial professionals
JOB SPECIFICATIONS
2+ years professional experience in trust administration required
Demonstrated knowledge of software packages including MS Office (Excel, Word, and Outlook) required
Demonstrated ability to in! terpret basic trust principals in order to interpret or prepare client communication and technical expertise required
Time Management skills: Ability to take on multiple tasks simultaneously and manage them all effectively
Effective team player with the ability to collaborate on a wide range of topics, issues, and situations
Ability to work with deadlines
Bring a high degree of accuracy and diligence
Good interpersonal skills allowing good interaction with colleagues and their advisors
Experience with Global Plus experience preferred
